The answer in 30 seconds

A document summary should preserve the qualifications that matter to a decision. Good wording cannot compensate for a misread table or an omitted exception.

Use a clearly identified authorised corpus. Distinguish quotation, paraphrase and interpretation, and compare important points with the original files.

Examples to adapt

A total looks wrong

Return to the table, its units and footnotes before asking for a correction.

A short summary drops an exception

Explain why that exception affects the decision and request its restoration.

Follow the method

  1. 1
    Prepare the corpus

Remove unnecessary documents and unrelated confidential details. Name each file clearly and keep its edition or date.

  2. 2
    Request a traceable reading

Ask for the section or passage supporting key points. Have the answer distinguish a quotation from an interpretation.

  3. 3
    Inspect a targeted sample

Check numbers, units, table headings, exceptions and conclusions. Do more than a stylistic reread.

  4. 4
    Revise the summary

Remove unsupported statements and identify missing documents. Retain the references with the final text.

A checklist to keep

Use these checks to record what you found. The grid supports a decision; it does not make one for you.

What to check

Keep original files available for comparison.

Do not treat extracted text as infallible.

Match the summary length to the decision.

Common questions

Should I always request a very short summary?

Choose a useful length that retains exceptions and evidence.

How should I correct a mistake?
